You’ll be juggling several clients and projects in a dynamic and exciting environment.

Today you might be talking to a client about a new creative event brief, building stand-out proposals, quoting, preparing learning materials for an upcoming event. The next, preparing invoices, managing our CRM system, sourcing creative solutions to our clients’ problems. The next, account managing some of our key clients and meeting with members of our team to present your ideas of how to maintain our world-class learning offerings.

Position Overview:

As an L&D Coordinator, you will ensure our events are running effectively on a day-to-day basis. You will be managing attendance, co-ordinating materials and delivering exceptional customer service. The successful candidate will have prior L&D Coordinator/Events experience, excellent organisational skills, be proactive, and have very strong attention to detail.

You will be the face of customer service and administrative co-ordination to our clients. You’ll have the support of our full-time business administration apprentice and report into our Head of Marketing and Operations. This is a busy and varied position where you will take the lead on several key areas as follows:

 

Event Co-ordination

  • Managing event logistics for our learning events and programmes

  • Analyse workshop feedback and prepare action plans

  • Occasionally Deliver on-the-ground support for in-person learning events

Marketing & Sales

  • Dealing with our key stakeholders, clients and prospects (in person, on the phone or by email)

  • Manage our pipeline via our CRM system, Capsule

  • Some experience with email marketing or automations for marketing campaigns

  • Dealing with incoming business enquiries and develop them into new business

  • Handling the client journey from ‘deciding to work with us’ to booking, payment and logistics

Finance

  • Managing cash flow and reconciling all financial transactions (using Xero, previous experience preferred)

  • Creation of invoices, quotes, bills, purchase orders and credit notes

  • Liaise with external providers to ensure on time payments

Administration

  • Client support – supporting our client companies and practitioners to grow their knowledge of the products and services that we provide

  • Support with administrative tasks for the team/CEO

  • Strong communication skills (both written and verbal) at all levels with internal and external stakeholders

  • Planful - able to foresee what needs to be done (so no balls are dropped)

Qualifications or Skills:

  • Background in learning and development or HR – desirable

  • CIPD Certificate in L&D (or similar) – desirable but not essential

  • Intermediate to advanced knowledge of IT systems including Microsoft packages and web-based specialist software (e.g. Xero, Capsule) - preferable

Person Specification:

  • Track record in excellent customer service – both in person and on the phone

  • Has a passion and/or keen interest in learning

  • High attention to detail, able to think ahead / plan

  • Creative thinker – comes up with new ideas to solve problems

  • Willing to get stuck in – this is a small business environment

  • Enthusiastic team player who is willing to contribute to the success of our small business

  • Ability to work on your own initiative and take responsibility for end-to-end event delivery

  • Versatility – the ability to flex and bend into different roles and wear different hats

  • Joined up thinker – look at projects as a whole vs individual tasks

 

All the Other Important Stuff:

  • Salary of £28,000-£32,000 FTE, dependent on experience. We are looking for someone for a minimum of 4 working days per week (30 hours). We will flex this to meet the needs of the role and the successful applicant.

  • Pension Contribution

  • Flexible working hours

  • Minimum Two days per week based at the Blue Gnu Head Office (GU12 6HB), rest can be home based

  • Laptop and all necessary office equipment will be provided

  • Dog friendly office

  • Holiday entitlement (full time equivalent), 28 days per year plus Bank Holidays and additional Christmas shutdown (no holiday is required between Christmas and New Year, the office is closed)

  • 3-month probation period
